Privacy Policy
We respect your privacy. This policy explains what personal information Atelo Travel Quintrip (Pty) Ltd, trading as Quintrip ("Quintrip", "we", "us"), collects, why we use it, who we share it with, and the rights you have under the Protection of Personal Information Act (POPIA). It applies to our website, our quotes and bookings, and our communications with you.
1. Who is responsible
Quintrip is the responsible party for your personal information. Building 9, Fourways Manor Office Park, 1 Macbeth Avenue, Fourways, Sandton, 2055, South Africa.
2. What we collect
• Identity and contact details: names, email address, phone number, address, date of birth, nationality.
• Travel documents: passport details and, where a trip requires it, copies of identity documents, visas and children's travel documents. We keep these copies in secure cloud storage (Google) with access limited to our team.
• Booking and payment details: the services you book, travellers' names, payment records. Card payments are processed by our payment providers (iVeri with Nedbank, and PayGate with Payfast), and we do not see or store your full card number.
• Special requests and health information: dietary needs, medical conditions, disabilities or mobility needs that you tell us about so that we can arrange your trip.
• Website and device data: IP address, device and browser type, pages visited and cookie identifiers.
• Communications: emails, messages, chats and calls with us, which we may record (see clause 6).
• Marketing preferences: whether you agreed to receive offers from us.
3. How we collect it
Mostly from you: when you ask for a quote, book, pay, contact us or subscribe to our newsletter. We also collect some information automatically when you use our website, and from the person who makes the booking for a group (the lead traveller), and from the Suppliers (airlines, hotels and others) when they confirm your services.
4. Why we use it
• To make and manage your booking, including quotes, payments, tickets, changes, cancellations, refunds and help during your trip. Legal basis: your contract with us.
• To meet our legal duties, such as tax, accounting and anti-fraud rules.
• For our legitimate interests: preventing fraud and misuse, keeping our systems secure, improving our website and services, handling complaints and defending legal claims.
• With your consent, where the law requires it: for health information, for marketing, and for non-essential cookies. You may withdraw your consent at any time.
5. Health information and children
Health, dietary and disability information is special personal information. We use it only to arrange your travel, and we share it only with the Suppliers who need it to meet your needs. By giving it to us, you consent to this use.
We collect information about children only through a parent or guardian. The lead traveller confirms that they have the authority to give us the personal information of every traveller on the booking, including children.
6. Who we share it with
• Suppliers: airlines, hotels, transfer, activity and car hire providers, and booking platforms, to deliver your services.
• Service providers: our payment provider, website hosting, booking, email and customer management systems, and communication tools, who process information for us under agreements that require them to protect it.
• Authorities and advisers: government and border agencies, regulators and law enforcement when the law requires it, and our professional advisers, insurers and auditors.
• A buyer of our business, if we are ever sold or restructured, under the same duties of protection.
We do not sell your personal information.
We may use artificial intelligence tools to help us prepare quotes and itineraries and to answer your messages. We use business accounts with providers that are bound to protect the information, and we send them only the personal information that is needed. We do not send passport or identity document details, health information or payment details to them. A member of our team reviews what is prepared before it reaches you.
We may record calls and keep emails and messages to confirm your instructions, train our team and settle disputes.
7. Transfers outside South Africa
Your trip involves other countries, and some of our providers store or process information outside South Africa. When we send information abroad, we do so only where the recipient is bound by law, an agreement or rules that give a level of protection comparable to POPIA, or where it is needed to carry out your booking, or where you consent.
8. Marketing
We send you offers and newsletters by email only if you opted in, or if you are an existing customer and the offer is for similar services. You can opt out at any time, through the link in every message or by writing to us. Opting out of marketing does not stop service messages about your booking.
9. Cookies
Our website uses cookies and similar tools. Essential cookies make the site and the booking process work. Others measure how the site is used and help us show relevant ads: Google Analytics, Google Ads, Meta Pixel and TikTok Pixel. You can accept or refuse non-essential cookies in the cookie banner and in your browser settings. Refusing some cookies may limit parts of the website.
10. Security
We use reasonable technical and organisational measures to protect your information against loss, misuse, and unauthorised access, including access controls and secure connections. If a security breach affects your information, we will notify you and the Information Regulator as POPIA requires.
11. How long we keep it
We keep booking records for 5 years after the end of your trip, to meet tax, accounting and legal duties and to handle claims. We keep marketing details until you opt out. Call recordings are kept for 12 months. After these periods, we delete or anonymise the information, unless the law requires us to keep it longer.
12. Your rights
You may ask us to confirm what personal information we hold about you and to give you a copy, to correct it, to delete it when we no longer need it, or to stop using it for marketing. You may object to our processing on reasonable grounds, and withdraw your consent at any time. Write to our information officer at info@quintrip.com.
If you are not satisfied with our answer, you may complain to the Information Regulator: inforegulator.org.za, complaints.IR@justice.gov.za, JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001.

Our website links to other websites that we do not control. This policy does not apply to them, and we encourage you to read their own policies.
